The accounting specialist is a member of the accounting team and provides team support and is tasked with the financial activity of the general Fraternity and related organizations, including general accounting support, accounts payable, payroll, and human resources.
Duties/Responsibilities:
Accounting
- Regularly updates various operating account bank balance ledgers
- Prepares monthly bank transaction journal entries
- Reconciles and processes employees’ and volunteers’ digital and paper expense reports
- Prepares bank reconciliations
- Prepares quarterly inter-organizational billings which include calculation of employee time allocation, direct and indirect expenses
- Assists with supporting documents for an annual audit of various organizations
- Records mortgage payments and disbursements and issues statements
Accounts Payable
- Audit incoming invoices and other payment requests, process vendor payments, handle vendor communications and ensure timely and accurate payment of vendor invoices resolve any billing disputes
- Make accounting entries to charge expenses to accounts, cost centers, and projects by analyzing invoices
- Manages company credit cards and any related issues
- Review credit card expense reports for accuracy and completeness
- Prepares annual 1099’s
- Maintains vendor files
Payroll
- Handles all administration with payroll processor (Paychex)
- Prepares bi-weekly payroll
- Maintains various state payroll tax accounts as needed
- Verifies payment of federal and state employment taxes and manages any related issues
- Assist staff with any timekeeping issues
Human Resources
- Oversees the onboarding of new employees
- Responsible for attendance tracking administration, time off, holidays, employee profiles for job costing, time cards, accessibility, etc.
- Maintains staff statistics, and time-off tracking through Paychex
- Distributes/maintains employee policy forms
- Maintains personnel files
- Manages employee documentation such as Employee Handbook
- Data collection, preparation of employee census information for compliance reports
- Oversees benefits administration, and conducts new hire meetings to review staff accounting processes and benefits
- Administers 401(k) and health plans
- Is responsible for employee verification, unemployment, and disability claims
- Verifies payroll deductions related to employee benefit plans
- Manages the collection of job applications as needed
- Oversees third-party COBRA administration
- Manages workers’ compensation policies and reporting (state or private)

- Knowledge of employment-related laws and regulations
- Proficient with Microsoft Office Suite or related software
- Proficiency with or the ability to quickly learn the organization’s accounting (Sage 100), payroll (Paychex), and expense tracking (Concur) systems
Education and Experience:
- Bachelor’s degree in accounting, business administration and management, human resources, or a related field requires equivalent experience
- At least three years of accounting and/or human resource management experience is preferred
- CPA, SHRM-CP, or SHRM-SCP is a plus
